CONTRACTUAL AGREEMENT
 
BIRTHDAY AND OTHER CELEBRATION FUNCTIONS

Thank you for choosing Provence to host your special function.  As an aid to the smooth planning of your function, we list the following points of important information. Please note that all the conditions stated below will be accepted by you when signing this agreement.
 

  1. A deposit of R3 000.00 is payable immediately to confirm your date and booking.  This deposit is non-refundable if your function is cancelled or the date is changed. The deposit will be refunded within 1 week after your function minus any breakages or damages.
  2. Total figures of attendance must be given 5 days before the date of the function.  Your account is calculated on this figure. If guaranteed numbers are not advised, we will cater and charge for the estimated number on the original booking. If final figures differ by more than 10% of the original estimate, Provence reserves the right to amend venue and menu prices quoted. If your function is cancelled more than 1 month prior to the date , you will be responsible for 10% of the full estimated cost. For all functions  cancelled within 14 days of the date, 50% of the cost will be billed, and within 7 days of the date, the full 100% of cost will be billed.
  3. You are allowed to provide your own table wines and sparkling wine.  A corkage fee of R10.00 per bottle will be charged.
  4. A cash bar facility is available for R300.00 – R 500.00, which includes bar personnel. According to the Liquor Act, if a cash bar is arranged, and any liquor is brought onto the premises by your quests, the bar will close.  The same rule applies for the use of liquor in the car park which is against the law.
  5. Provence will provide a clean venue with tables laid with tablecloths and overlays.  All crockery and cutlery will be provided.  A venue fee of  R 30.00 pp  will be charged for both halls for this facility.  It is your responsibility to organize/provide table arrangements, hall decorations if required, and serviettes.  We will gladly assist you with these arrangements if so required.  Any expenses will be for your account.
    Organza or other overlays which we need to rent in, will be for your account, as well as chair covers if so required.
  6. A service fee is added to your account of R 300.00 (for up to 30 guests ) and R500.00 (for over 30 guests).  Please note that all prices are subject to change without prior notice. We reserve the right to amend quoted rates should your number of guests or other requirements change. All our prices are exclusive of VAT.
  7. Closing time is 24h00, at which time we require the D.J. and barman to close their stations.  If however extra time is required, you are welcome to do so at R500.00 per hour overtime to Provence, and R200.00 per hour for the cash bar.
  8. Please note that swimming in the pool is not allowed, except if strictly arranged beforehand.  Please notify us if you would prefer to have the swimming pool secured with a safety net.  The safety of children at your function remains at all times the responsibility of the parents in charge.
  9. The final account must be settled 4 days prior to the function, in full.
  10. Provence makes ample provision for food and also prepares enough food for our own staff at our own cost. Unfortunately no food may be removed as ‘doggy bags’ after the function has ended.
  11. The client will be liable for all damages incurred to the premises or its  contents during the function, and indemnifies Provence fully in respect thereof.  Any such damages levied will be settled within 5 working days from date of request/demand to do so.
  12. Provence does not accept any responsibility for damages to hired items brought onto the premises by the client or his/her service provider. This includes any glass items, vases, napery, sound equipment and stands.  Provence also does not take responsibility to keep such items left behind in safe keeping over a period of time.
We trust that our services and provisions will be of our usual excellent standard, and that the time spent with us will be most enjoyable.
