CONTRACTUAL AGREEMENT:  WEDDING AT PROVENCE 2009
 
Thank you for choosing Provence for your special day.  We will do our best to help make your day unforgettable.  Please note the following areas of importance:
 

  1. The deposit of R5000.00 paid to secure your date, and is not redeemable if your date is cancelled or changed. The deposit will be refunded within 1 week after your function , minus any breakages or damages incurred. A further R5000.00 is to be paid 6 months prior to your function date.  The balance due is to be paid as set out below.
  2. Final numbers of guests attending must be given 10 days prior to the function, and this figure will be used when calculating the account, which is to be paid in full the day after.  If the information is not given to us in time, we will work with the figure given to us at the time of booking.  No discount will be given for late cancellations. Any function cancelled within 7 days prior to the function will be billed 100% of the full projected cost. Any function cancelled within 14 days of the date will be billed 50% of the full projected cost, and more than 1 month prior to the date 10 % of the cost.
  3. The guestrooms are managed like a normal guesthouse.  The rooms can be occupied from 12h00 on the day of the booking until 10h00 the following morning, unless other arrangements are made.  A maximum number of 4 people are allowed to get dressed in each of the rooms.  The keys to the rooms must be collected before the start of the function.
  4. Bar service and music are to cease at 24h00.  Guests, D.J. and bar personnel are given enough time to pack up and leave the hall.  The gates of the parking area will close strictly at 01h00. An after hours fee of R500.00 per hour is charged from 24h15 if you decide to continue with the the function.
  5. The fee for booking the garden and gazebo for a ceremony is
    R 1 500.00. That includes the chairs (without chair covers), pedestal, stands, and small tables etc., needed for candles, doves, mass and other rituals during the ceremony.  No sound equipment will be supplied by Provence.  Umbrellas are also provided at R150.00 each. If the garden has been booked and it rains on the day the R 1 500.00 is still applicable, as the ceremony has to be moved either to the large or small banquet halls.
  6. The final account must be paid in full at least 2 days before the wedding.
  7. The account is calculated on the final guest number supplied to us. Should food prices increase with more than reasonable percentages, we reserve the right to increase the price per head for the menu.
  8. The table layout must be supplied no later than the Wednesday before the wedding.
  9. Any table decorations and cards or gifts for the tables must be supplied the day before the wedding or early the morning of the wedding.
  10. The printing of menus is the client's responsibility. So is the printing of table numbers and a guest list.
  11. Provence will rent chair covers on your behalf, for your account, as agreed upon. Any chair bows, overlays or strips as well as draping is also for your account.
  12. Should there be two weddings on the same day, the couple getting married in the afternoon should not start proceedings earlier than 17h00. You are entitled to a neat clean venue and the cleaning personnel need enough time to provide exactly that. Should you get married in the morning please keep strictly to the times provided as there may be a wedding that same evening. That will provide you with enough time to enjoy your wedding to the fullest.
  13. Weather providing the fireplace may be used. You are responsible for providing firewood and Blitz. We can also arrange it for your account. We will light the fire.
  14. Should children attend the wedding please state if the swimming pool should be covered or not. Children should be under their parent's supervision at all times.  Children under 6 years of age does not pay a menu fee, and children between 6 and 12 years pay 50% of the menu fee. All children seated pay the full place setting fee.  Please remember to include your service providers such as photographer and DJ in your calculation of number of guests.
  15. Provence is not liable for any injuries, (specifically at the swimming pool) damage or loss of personal items. The swimming pool may not be used without the permission of management. No liquor or glasses may be taken into the swimming pool at any time.
  16. Arrangements regarding the flowers will be discussed with the bride, which includes the removal of any flowers after the function.
  17. The Main course will be served until 20h30 and coffee at 22h00, except if arranged differently with the host and hostess. No kitchen staff are available after 23h00 and therefore no food will be available after this time.
  18. The master of ceremonies must discuss the sequence of events with the floor manager before the start of the wedding.
  19. Management reserves the right to keep the client liable for any damage to the venue, windows, furniture and losses incurred by guests of that particular client. Any such costs must be paid within 5 days of the request thereof.
  20. Delivery of food, liquor, sound equipment, flowers, stands etc. will only be accepted during office hours.
    Office Hours: Monday to Friday 9h00 - 16h00.
  21. A manager appointed by Provence will be on duty for the full duration of the function. Any problem or crises must be reported to him/her. Any decision made by him/her is final and must be adhered to.  The service fee of R500.00 charged is for the service of this person and not as a tip to the kitchen staff. A co-ordinator's fee of R500-00 is charged once off for the services and assistance of our wedding planner.
  22. When the bride or bridegroom book rooms on behalf of guests, he/she is responsible for the payment of the account. Rooms cannot be booked for guests who "may" stay over.
  23. Cars are being parked at own risk in the parking area. A security guard can be arranged on your behalf. The cost will be for your account.  No cars are allowed in the driveway of the private manor house.
  24. Provence does not accept any responsibility for the removal of rented items such as candles or vases by guests.  Any damage such as candle burn marks to rented or Provence's cloths, (specifically organza) will also be for your account. Provence can also not guarantee the safekeeping of any hired items that is left on the premises indefinitely and not collected with 2 days.
  25. You are welcome to bring your own table wines and sparkling wine.  Provence will charge you a corkage fee depending on the number of bottles we have to handle.  A cash bar can be arranged for you for the fee of R500.00.
  26. Provence makes ample provision for food and also prepares enough food for our own staff at our own cost. Unfortunately no food may be removed as 'doggy bags' after the function has ended.
